Terms & Conditions for the Reservation Program
- Introduction This Program allows organizations ("Participants") interested in purchasing and operating our innovative solution to express their interest and secure a spot on our reservation list. By participating in the Program, you agree to the following terms and conditions.
- Reservation Fee 2.1 Participants are required to pay a reservation fee of €250 ("Fee") to join the Program. This Fee serves as an indication of serious interest and helps us manage demand effectively. 2.2 The Fee is non-binding and will not obligate you to purchase or commit to any further agreements. It is solely intended to secure a reservation spot and is not a deposit or down payment. 2.3 Payment of the Fee is required to confirm your reservation and secure your position on the list. Failure to make timely payment may result in the loss of your reservation. 2.4 Upon conversion of the reservation into a purchase, the Fee will be deducted from the final purchase price. In the event that multiple reservations are made, only one Fee will be applied toward the purchase price. 2.5 The Fee may be transferable to another organization, subject to our prior written approval and compliance with applicable terms and conditions. 2.6 Participants who wish to cancel their reservation may do so at any time by submitting a written request, which will initiate the refund process as outlined in the Refund Policy section. 2.7 Participants acknowledge that payment of the Fee is made in anticipation of future product availability and does not constitute a guarantee. While every effort is made to ensure the success of the Program, unforeseen business circumstances, including financial constraints, could impact the continuity of the Program.
- Non-Binding Nature of the Reservation 3.1 Participation in the Program does not constitute an obligation to purchase our solution or any related products or services. The reservation is intended solely to provide Participants with an opportunity to explore our solution without any legal or financial commitment beyond the initial Fee. 3.2 The Fee is fully refundable upon written request at any time prior to the execution of a purchase agreement. Refund requests can be made via email or postal mail, and participants will receive confirmation of their refund status within 10 business days. 3.3 Participants are encouraged to review all available product information and engage with our team to address any questions they may have during the reservation period. 3.4 The reservation does not guarantee the availability of specific product features or configurations, as these may be subject to changes based on market demand and technical feasibility. 3.5 We reserve the right to contact Participants during the reservation period to provide updates and gather feedback regarding their interest and expectations.
- Benefits of Joining the Program 4.1 Participants will gain priority access to updates, notifications, and exclusive offers related to our solution. This includes early insights into product developments, feature enhancements, and strategic roadmaps. 4.2 The reservation list is organized on a first-come, first-served basis, based on the date of payment of the Fee. Early placement on the list increases the likelihood of being among the first to access our solution when it becomes available. 4.3 Participants will also have the opportunity to provide feedback and suggestions that may influence the final design and functionality of our solution. 4.4 Exclusive webinars, demonstrations, and consultations will be made available to Participants, ensuring they stay well-informed and engaged throughout the development process. 4.5 Additional incentives such as discounts, extended warranties, and bundled service packages may be offered to Participants who remain engaged until the final purchase phase. 4.6 Participation in the Program grants access to a dedicated support team that will address any inquiries or concerns related to the solution and reservation process.
- Refund Policy 5.1 Participants may request a refund of the Fee at any time before a binding agreement is signed. The refund policy is designed to offer flexibility and reassurance to Participants who may reconsider their interest or face changing circumstances. 5.2 Refund requests must be submitted in writing to [email/contact details]. Requests should include the Participant's full name, contact information, reservation details, and reason for the refund request. 5.3 Refunds will be processed within 30 days of receiving the request. Participants will receive confirmation of the refund status via email and may be asked to provide additional documentation to verify their identity. 5.4 In the event of unforeseen circumstances such as changes in business strategy, regulatory issues, or significant delays in the Program, Participants will be eligible for an expedited refund process. 5.5 Participants should note that refund transactions may be subject to bank processing fees, which will be deducted from the refund amount where applicable. 5.6 If a Participant wishes to transfer their reservation to another organization instead of requesting a refund, they must submit a written request for approval and comply with the applicable transfer conditions.
- Participant Obligations 6.1 Participants must provide accurate and up-to-date contact information when joining the Program. 6.2 Any changes to your contact details must be promptly communicated to us to ensure you receive Program-related updates.
- Limitation of Liability 7.1 We reserve the right to modify, delay, or cancel the Program at our sole discretion. In such cases, all Fees paid will be refunded in full. 7.2 While we will make every effort to adhere to the timelines and commitments communicated during the Program, we cannot guarantee adherence to these timelines due to unforeseen circumstances. 7.3 We are not responsible for any indirect, incidental, or consequential damages arising from participation in the Program.
- Confidentiality 8.1 Any information shared with Participants during the Program, including product details, features, or pricing, must be treated as confidential and not disclosed to third parties.
- Data Sharing 9.1 By participating in the Program, Participants acknowledge and agree that their personal data may be shared with third parties such as investors and financing companies for the purpose of evaluating and supporting the Program.
- Termination 10.1 We reserve the right to terminate your participation in the Program if you breach these terms and conditions. 10.2 In the event of termination due to breach, the Fee will not be refunded.
- Governing Law 11.1 These terms and conditions are governed by the laws of Belgium. 11.2 Any disputes arising from the Program will be subject to the exclusive jurisdiction of the courts in Belgium.
